ClickSync Setup Guide
Get HubSpot deals syncing to ClickUp tasks in under 5 minutes. No middleware. No automation expertise needed.
lightbulbWhat ClickSync Does
ClickSync is a purpose-built synchronization tool that keeps your HubSpot deals and ClickUp tasks in sync — both directions, every 5 minutes.
When your sales team closes a deal, ClickSync automatically creates a task in ClickUp with the right field values. When your delivery team updates that task, the changes flow back to HubSpot. No copy-pasting. No data drift. No silent failures.
ClickSync works on every HubSpot tier — including Free and Starter — and supports custom field mapping for text, number, date, dropdown, and checkbox fields.
loginStep 1: Connect HubSpot
Click “Connect HubSpot” and authorize ClickSync to access your HubSpot account. ClickSync requires three permissions: read deals, write deals, and read deal schemas. Works on all HubSpot tiers including Free and Starter.
add_linkStep 2: Connect ClickUp
Click “Connect ClickUp” and authorize access to your ClickUp workspace. ClickSync will use the first workspace in your account.
list_altStep 3: Select a ClickUp List
Browse your ClickUp workspace hierarchy (Spaces → Folders → Lists) and select the list where you want synced tasks to appear. This is typically a project delivery or client onboarding list.
swap_horizStep 4: Configure Field Mappings
Deal Name always syncs to Task Name automatically. Add additional mappings to sync specific fields:
- Amount → Revenue: Syncs the deal value to a ClickUp number field
- Deal Stage → Status: Maps HubSpot pipeline stages to ClickUp task statuses
- Close Date → Due Date: Sets the task due date from the deal close date
For dropdown fields (like Deal Stage → Status), you'll map each option individually — for example, “Closed Won” → “Complete”.
play_arrowStep 5: Run Your First Sync
Click “Sync Now” to immediately sync all your HubSpot deals to ClickUp tasks. You'll see results showing how many tasks were created, updated, or skipped.
After the first sync, ClickSync automatically syncs every 5 minutes in both directions:
- HubSpot → ClickUp: New and updated deals create/update tasks
- ClickUp → HubSpot: Changes to mapped task fields update the corresponding deal
syncHow Sync Works
Every 5 minutes, ClickSync:
- Checks HubSpot for deals that changed since the last check
- For new deals: creates a ClickUp task with mapped field values
- For changed deals: updates the linked ClickUp task
- Then checks ClickUp for tasks that changed
- For changed tasks: updates the linked HubSpot deal
This means:
- Changes in either tool sync within 5 minutes
- If nothing changed, nothing happens
- Duplicate prevention is automatic
- Loop prevention is built-in
- Every action is logged in the Activity tab

buildTroubleshooting
- “HubSpot connection expired”: Go to Settings → Reconnect HubSpot
- “ClickUp rate limit reached”: This resolves automatically on the next sync cycle
- “Record not found”: The deal or task was deleted in HubSpot/ClickUp
- Fields not syncing: Check your field mappings in the Sync tab. For dropdown fields, ensure each option is mapped.
link_offDisconnecting Accounts
You can disconnect your accounts at any time from the Settings tab. There are two options:
- Disconnect ClickUp only: In the Connections section, click Disconnect next to ClickUp. This removes your ClickUp credentials and deactivates all sync pairs, but keeps your HubSpot connection intact. You can reconnect ClickUp at any time to resume syncing.
- Disconnect All Accounts: In the Danger Zone section, click Disconnect All Accounts. This clears your session and logs you out of ClickSync entirely. Your sync history and field mappings will be removed. You can reconnect by signing in with HubSpot again.
Disconnecting does not delete any deals in HubSpot or tasks in ClickUp — your data in both platforms remains untouched.
delete_foreverUninstalling ClickSync
To fully remove ClickSync, uninstall the app from your HubSpot account:
- Go to HubSpot → Settings → Integrations → Connected Apps
- Find ClickSync and click Uninstall
- Confirm the removal
When ClickSync is uninstalled from HubSpot, the following happens automatically:
- All active sync pairs are deactivated
- Your HubSpot OAuth tokens are revoked and cleared
- Automatic syncing stops immediately — no further changes will be made to your deals or tasks
Your existing deals in HubSpot and tasks in ClickUp are not deleted. They remain exactly as they were at the time of uninstall.
If you change your mind, you can re-install ClickSync from the HubSpot Marketplace and reconnect your accounts to resume syncing.
